The volunteer administrative role will be an exciting opportunity to work with creative people and form the hub of the ArtWell Team. Essential to enabling ArtWell to deliver outreach creative and psychologically informed activities across Hampshire the role is varied and customer focused. The role includes contributing to Director’s meetings and writing minutes, processing of referrals to our projects from a variety of statutory and non-statutory services, managing fee paying bookings onto our public workshops, commissions and other external events. ArtWell is developing our network of guest artists who work across our projects. You will be working with a broad range of creative practitioners across a variety of disciplines. You will be responsible for managing the administration of guest artist agreements and volunteer agreements. You will work closely with the Directors at a pivotal moment in the organisation’s development with the opportunity to develop the role to support this growth within a creative atmosphere. It is essential that the role is fulfilled by someone who is skilled in literacy as there will be a requirement to compile letters and converse with members of the public and distributing information on programmed workshops. Whilst there is a requirement to attend Directors Meetings most of the role will require flexibility to suit the needs of the administrative duties and volunteer commitments. The role would suit someone who would like to make a significant contribution to supporting people who come from disadvantaged backgrounds as part of their recovery, be part of a small enthusiastic team that is person focussed and values each person’s contributions with equality, from the ease of their home address and flexible timings. The role can be completed over a maximum of 2 days per week and covered however fits best with the volunteer.

This is a home working role with some travel to Overton in Hampshire

What skills do I need?

 As our administrator you must be able to operate without bias across all participants. The primary focus of ArtWell is to create safe, gentle and nurturing environment for people who have experienced challenging life events as part of their recovery. The role therefore requires a gentle and supportive manner when speaking to someone on the telephone or contacting them via email, whilst also maintaining appropriate boundaries. The organization prides itself on being built on lived experience. We therefore place great value on the lived experiences of everyone we work with. This role is no exception and we welcome the opportunity to work with people who have experienced life events that have challenged mental wellbeing. We believe that the skills and knowledge gained are valuable in working with our partners and cohorts. As the organisation is small there is the necessity to be flexible to accommodate reasonable requests relevant to the role of Volunteer Administrator. The candidate should ideally have experience working in business orientated environments with administration experience being essential. An understanding of the creative industries would also be an advantage. The candidate should be computer literate able to compile and populate spreadsheets accurately using Microsoft Office 365 and Mailchimp. As there will be handling of personal data training and knowledge of Data Protection protocols and responsible handling of personal information is essential. It is essential that the candidate understands the sensitive nature of personal medical information and adheres strictly to these protocols on an ability to know basis. Training will be given. We hope to distribute a quarterly Newsletter via our mailing list, the Volunteer Administrator should have knowledge of Mailchimp, the digital platform we use for mailing lists. Skills in marketing or promotional activities would be welcomed. Previous administrative experience is essential.
